As an Airbnb host, you know how important it is to keep your calendar booked and organized. But when you’re listing your rental on platforms besides Airbnb, things can get a bit messy. That’s why you need to sync your calendars.

In this guide, we’ll break down how Airbnb calendar sync works in easy-to-follow steps. 

How Airbnb Calendar Works

Airbnb’s calendar system simplifies managing your property’s availability and bookings. When you create a listing, you can mark dates as available or unavailable based on your schedule.

If you’re also hosting on other websites, you can link all your hosting calendars to avoid double bookings. This requires a two-way connection. 

Airbnb provides you with a URL (also called iCal) that you can export and add to other booking sites, and you’ll need a URL from those sites to add to Airbnb. 

Once connected, your calendars will sync up. So, when a guest books a night on one calendar, it’ll automatically block that night on the others so that every calendar is up-to-date. 

Airbnb Import Calendar (Instructions)

To link your calendars from other websites to Airbnb, you’ll need to get a specific URL from each site and add it to your Airbnb account. Usually, these links can be found under sections labeled something like “Calendar Import and Export” on those other platforms. 

You also need to make sure the URL ends in .ics, as other formats won’t do the trick. 

Now, let’s walk through how to add the link from other platforms to Airbnb:

  1. Log in to Airbnb
  2. Select “Calendar” and choose the listing calendar you want to update
  3. Click on “Availability”
  4. Under “Connect Calendars”, select “Calendar Import”
  5. Paste the URL from the external calendar into the provided field
  6. Name the calendar 
  7. Click “Save”

Airbnb Export Calendar (Instructions)

Airbnb gives you a URL that you can copy and paste into the calendar of another website. This sends your Airbnb booking info to that site. 

With this URL, you can link to other hosting sites like VRBO or Booking.com, or export to your personal calendars like Google or Apple.

Don’t worry if it sounds complicated. Exporting your Airbnb iCal is easy, just follow these few simple steps:

  1. Log in to Airbnb
  2. Click on “Calendar” and choose the listing calendar you want to edit
  3. Select “Availability”
  4. Under “Connect Calendars,” choose “Airbnb Calendar Export”
  5. Copy the link provided
  6. Paste it into your other iCal application (like Booking.com or Vrbo)

Exporting your Airbnb calendar and linking it with other calendars is a good way to keep your availability up-to-date.

Keep in mind that if you link your calendar from another website to your Airbnb one, any booked nights will be blocked automatically. But if you block nights on the other calendar, it might not block them on Airbnb. So, be sure to check that.

How to Find Airbnb Calendar URL 

You can access your Airbnb calendar URL at any time and the steps are the same as for exporting the calendar. Let’s revise it one more time:

  1. Go to the “Availability” tab
  2. Under “Connect Calendars,” click on “Airbnb Calendar Export”
  3. Click on “Export Calendar” and there you’ll find the link

Refreshing Your Connected Calendar

Your Airbnb calendar automatically updates every 3 hours and collects information from the other calendars you’ve linked. 

If you want to see the latest availability before those 3 hours are up, you can refresh it manually.

Here’s how to manually refresh your calendar:

  1. Click on “Calendar” and choose the listing you want to update
  2. Select “Availability”
  3. Under “Connect Calendars,” select “Calendar Import”
  4. Choose your imported calendar (for example, Booking.com) and click “Refresh Calendar”

How to Keep Your Calendars in Sync

You can use three different ways to keep your calendars in sync, and you might even end up using a mix of these. Let’s check them out.

Manually Updating Your Calendars

The first option is to update your calendars manually, but it’s also the most time-consuming one.

It can especially cause problems if you enable Instant Book. If you’re manually approving bookings instead of using Instant Book, you can just go to your other calendars and block the dates before approving a new booking. 

How to Sync Your Airbnb and Vrbo Calendars

Manual updates can take both time and effort, especially if you’re getting lots of bookings across all channels. But if it works for you, it can help you avoid double bookings.

Using iCal Sync

iCalendar, or iCal for short, is a standard file format (usually .ics) used to store and share calendar and scheduling information, including vacation rental bookings. 

Many popular calendar apps support this format (like Google Calendar, Apple’s Calendar, and Microsoft Outlook), as well as all the big listing sites, including Airbnb, Booking.com, Vrbo, Expedia, TripAdvisor, and more.

Using iCal to sync your vacation rental calendars is easy. Just export and import the calendars into each other, as we mentioned above. Don’t forget that you need to set up a two-way sync between the platforms.
