Making sure your guests have a smooth departure starts with giving them clear Airbnb checkout instructions. This is your chance to leave a great last impression, avoid any last-minute confusion, and keep the turnover process simple.

So, today, we’ll cover how to create the perfect Airbnb checkout list and instructions and ways to automate sending it to guests. Plus, we’ve got a free template you can use to speed things up.

Do You Need to Provide an Airbnb Checkout List & Instructions?

While providing a checkout list and instructions isn’t mandatory, it is generally a good practice. Here’s why:

  • Clarity: A checkout list clearly outlines what guests need to do before leaving, so they won’t be stressed and confused about their responsibilities and you won’t be getting unnecessary calls and messages.
  • A Warm Goodbye: Your checkout instructions are also your final chance to say goodbye to your guests and wrap up their stay on a positive note. It’s also a perfect moment to encourage them to leave a review and extend an invitation for them to return.
  • Smoother Turnover: By instructing guests on tasks such as cleaning up, taking out the trash, turning off appliances, and reminding them when to check off, you can make sure their departure goes smoothly and they leave the rental in good condition for the next guests.
  • Delivering Top-Notch Service: Providing a checkout list and clear instructions is all part of giving your guests a great experience, so they enjoy every moment from check-in to check-out.

What to Include in Your Checkout Instructions

Your checkout list for Airbnb should be simple and concise, so you don’t overwhelm the guests. Here are some of the essentials you should cover:

  1. Check-out time: Be specific about the checkout time, but if your checkout is flexible, you can mention that they should let you know when they plan on leaving.
  2. Doors and windows: Remind guests to close and lock all doors and windows.
  3. Cleaning: Outline any cleaning tasks guests are responsible for, such as tidying up, washing dishes, and disposing of their food from the fridge.
  4. Trash disposal: Explain how guests should dispose of trash and recycling. Let them know if there are specific bins or collection days.
  5. Linens: Instruct guests on what to do with used linens and towels, whether they should leave them in a designated area or wash them before they leave.
  6. Appliance and electronics: Provide instructions for turning off appliances, electronics, and any smart home devices they may have used during their stay.
  7. Thermostat settings: Mention to guests to set back the temperature if they’ve changed it.
  8. Security system: If there’s a security system, instruct them how to set it up or turn it off before they take off.
  9. Returning the keys: Let your guests know where to leave the keys or any access cards, whether it’s placing them in a lockbox, giving them to a neighbor, or storing them in any special spot.
  10. Reminder to leave a review: Politely ask guests to leave a review of their experience on Airbnb.

How and When to Share Your Airbnb Checkout Instructions

To make sure that your instructions don’t go unnoticed, it’s best to send them multiple times.

First, share them when guests arrive, to set their expectations. You can include the instructions in a welcome letter, add a printed and laminated copy in a welcome book, or include it in your digital guidebook. To make a digital guidebook, you can use platforms like Touch Stay or Hostfully Guidebooks.

Then, it’s wise to send the instructions again closer to the end of their stay, ideally one day before checkout. You can automate sending this message with vacation rental software. Platforms like Lodgify, iGMS, and Hospitable let you schedule messages and emails and include documents within the message, so you can attach the checkout checklist.

Another option is Airbnb’s automated checkout feature, which sends a reminder to guests the day before checkout. To get this reminder, guests need to have the Airbnb app and enable push notifications.

If guests don’t have the app, you can schedule messages with reminders directly to their Airbnb inbox, including a checkout card linking to instructions.

To take advantage of these features, you first need to add checkout instructions to your listing. Here’s how to do it:

  • Go to Listings and select your listing
  • Under the Listing editor, find and click on Arrival Guide
  • Select Checkout instructions and choose Add instructions
  • Choose your preferred options, and don’t forget to save the changes
